Purpose

Grace United Methodist Church of Spencer, Iowa is seeking a candidate for the position of Event Coordinator and Community Liaison. This position will focus on two priorities:

  • Build and maintain community partnerships that align with Grace UMC mission and values to promote facility use and building usage contracts.
  • Guide processes, establish protocols, coordinate with ministry teams, and provide documentation for planning events connected to ministries.
     

 Duties

  • Meet with community leaders to build relationships, collaborate to identify needs, and coordinate potential partnership opportunities for Grace UMC facility usage.
  • Identify opportunities for Grace UMC facility through community partnerships.
  • Ensure building usage partnerships are consistent with the values, goals, and mission of Grace UMC.
  • Establish , manage, and provide support for building usage contracts.
  • Establish and maintain up-to-date building usage calendar.
  • Identify opportunities for ministry growth through events and community engagement.
  • Work closely with Grace UMC ministry leaders to integrate events into their ministry committee plans and goals.
  • Develop and manage the protocol of event planning with committees and program leaders within Grace UMC leadership.
  • Assist in creating and distributing event marketing materials through various channels including church bulletins, website, social media, email, newsletters, print marketing, etc.
  • Facilitate communication and collaboration between ministry teams to ensure consistent, efficient, and well-coordinated efforts.
  • Encourage and collaborate on Grace UMC current and future vision, mission, and goals with Grace UMC leadership members.
  • Oversee all aspects of event planning and coordinating between Grace UMC leadership team and partnering leadership.
  • Establish, train, and manage leadership personnel regarding proper documentation, information, and follow-up around building use, events, and program ministry.
  • Manage event logistics on-site, ensuring smooth execution and addressing any issues that arise.
  • Prepare reports on event outcomes and impact for church leadership.
  • Present to Grace UMC Leadership team feedback and successes regarding processes, protocols, and outcomes
  • Maintain accurate event records that include attendance tracking, budget monitoring, and vendor contracts.
  • Recruit, train, and mobilize leadership team and volunteers to support various ministry events and activities.
  • Communicate event details to church members and potential participants effectively.
  • Assign clear roles and responsibilities to volunteers based on their skills and interests.
  • Foster a positive volunteer experience through recognition and appreciation.  
Requirements
Necessary Skills Self-motivated with a strong sense of integrity and accountability. Exceptional organizational skills with the ability to manage multiple projects simultaneously.  Excellent verbal and written communication skills with the ability to effectively interact with diverse groups of people professionally. Excellent interpersonal skills with the ability to implement conflict management skills as needed. Creative thinking and ability to develop engaging event concepts and unique building usage opportunities.  Basic computer proficiency, i.e., Microsoft Office, use of email, digital communication, and online calendar. Time management and accurate time tracking via shared calendars. Ability to gain an understanding of church operations and ministry dynamics.  Ability to celebrate successes and accept constructive feedback to continuously improve strategies, protocols, & overall outcomes. Expectations Passion for serving the church community while promoting spiritual growth, and embracing ongoing personal development as a Disciple of Jesus Christ. Complete tasks in alignment with Grace UMC’s vision and mission. Be connected with the leadership team and congregation through bi-monthly (?) worship attendance, monthly leadership team meeting attendance, and other committee and program meetings as needed.  Meet with a (?) Staff advocate on from the Staff Parish Relations Committee monthly. Support Funds provided for meals to encourage networking opportunities. Cell phone and service provided for communication work.  Church-owned device provided to create marketing materials, pamphlets, contract templates, and document creation. Scheduled monthly supervision, support, & guidance. Salary half-time: $25,000  20 hours weekly average for the year
